Privacy
This page describes how Camp HQ (`hq.camp`) handles information for camp organizations, staff, and families. It is not legal advice and does not replace your camp's own policies.
Who we are
Camp HQ is camp-week headquarters software for churches and similar organizations. The product site is hq.camp. Each camp organization controls its own season data; Camp HQ provides the hosted app and infrastructure.
What we collect
- Accounts — email and auth for owners, admins, volunteers, and parents who sign in.
- Roster — student and household details your camp imports or enters (names, teams, registration flags, and related ops fields).
- Photos with consent — confirmatory student photos only when photo consent is granted.
- Phone opt-ins — parent or guardian phone numbers after explicit hub OTP (or documented admin/import consent) for camp alerts.
- Device push tokens — tokens from the Camp HQ app so we can send check-in and camp alerts when push is enabled.
What we do not do
- No student accounts — minors do not sign in.
- No in-app payments or card processing.
- No conversational SMS — outbound alerts only; inbound STOP/HELP is handled, free-text is not a chat channel.
Photos
Photos require consent (`granted`). Denied or unset consent blocks capture and hides existing photos. After a season is archived, photo storage is purged N months later (default 12; configurable per season by the camp administrator).
Retention of scan history
Check-in and related scan history stays with the organization for operational records after a season ends. Photo files are purged on the retention schedule above; scan history is not treated as a photo retention substitute.
